Purpose

MetaField allows field personnel staff to create and / or e-mail email reports from their mobile device while on the job site.  This functionality is available in the Field Reports area of Field.  Reports created in Field Reportsare saved in Quality Control - Field Reports, where they can be reviewed, finalized , and / or countersigned by the project manager.

About Daily Reports

A daily report is intended to be a record of one technician’s MetaField use on a specific day.  After the technician selects which types of transactions (observations, tests, and/or inspections) should be included, the report will contain all available items for the type(s) selected, for a single technician, from a single day, for a single project. 

  • Daily Reports can be digitally signed and e-mailed.
  • Images and attachments cannot be added to reports using controls available in Field Reports.  However, they can be appended using the editing functionality in Quality Control (QC). 

Creating a Daily Report

To create a daily report follow these steps:

Select (or search for) the appropriate project. Verify Technician and Date are correct.

When using the Date Picker (shown below), dates that have applicable activities/tests for the chosen technician will be highlighted. Other dates with nothing to report will be grayed out.

If no field actions were logged for the selected Technician on the listed date, the Create Report option will not be available.

By default, all items entered for that day will be selected. if you uncheck any of these items, they will not display on the Daily Report. Then, select Next.

Tip
  • Select any of the buttons associated with an action type (Field Observations, Soil Density Tests, etc.) to review all items of that type and add optional Comments.
  • Comments will appear on the report, organized by type of action.

  • Select Submit.
  • Next, select Report Information.
  • On the screen that appears, add a Description (optional)
  • Select a Report Label (required).
  • Select Done.

If Digital Signature is available and you want to sign the report, select Digital Signature.

  • Mark the check box and enter your digital signature Username and Password.
  • Select Done.

If you want to e-mail the report:

  • Select Email.
  • Mark the Send Email checkbox.
  • Enter all required information.
  • Leave the Copy Me checkbox marked to send a copy of the e-mail to the "From" address.
  • Select Done.

When all desired options have been adequately completed, select Submit.
After successfully submitting a Daily Report, the following options will be available:

    If you are generating a report with a digital signature for more than 10 samples, your reports may take several minutes to process.

    To reduce this process time, you can choose to break up the number of samples you are processing in each transaction.


Density Testing
  • Allows Field user to create the same report that is generated out of Quality Control for a particular density test.

Creating A Report

After selecting the Field Reports menu button from the main Field menu, simply click the Create Report button.  A pop up will display where you can select the type of report you want to create.

After selecting the type of report, you'll be directed to the report filter page for the specific field report that was selected. By default your current project and today's date will be filtered. You can use the search icon next to the project name if you would like to create a field report for a different project. If you have not been working in a project you will be required to search for one. Select the Search Projects button.

After a project is selected, the underlying report data needs to be filtered to a specific Technician and date or date range depending on the report type. Optionally you can also filter on Status.

Tip

If you are creating a Daily Field Report, you can select All for the technician to run a report summarizing all of the field activities for all technicians.

When using the date picker, any date appearing with a white number indicates there were records / activity for that day.

After selecting your date and technician, screens similar to the following will appear if you are creating a Daily Field Report.  The screens for other reports will be similar in that you will be required to select certain activities that should appear on the report.

Creating / Previewing / Saving / Emailing a Report

 The final step in creating a Field Report is to save it and optionally email it.  The following parameters are available when performing this step.

Include Discrepancy Log
  • Available when creating an Activity report
  • A current discrepancy log can be optionally included as part of the report
  • The discrepancy log by default will include all discrepancies logged against the project. Discrepancis can optionally be hidden from the log by unselecting the Activity Group/Form.
Capture Field Signature
  • If allowed in report administration setting, a field signature can be captured.
Digitally Sign Report
  • If allowed in report administration settings, the field report can be digitally signed
  • An additional username and password will need to be supplied when selecting this option
Send Email
  • Allows for a report to be transmitted from the field via email
  • System will check to ensure SMTP server settings are defined in the Administration module first

Tip

If a Distribution List is defined in Project Specifications, the email addresses defined there will default into the To field.

Clicking the Preview button will generate a report for you to preview, but it won't save the report.

Clicking the Submit button will save the Field Report to the Quality Control module in MetaField for review and optionally email the report if the user chose to also email the report.

Viewing Existing Reports

Reports previously created in the Field Reports module can be viewed on a mobile device.  Simply click the View Existing Reports button from the main Field Reports menu.

A filter screen will display that allows you to filter previously created field reports by Technician, Report Type and Report Date.  Selecting a report in the reports list will download a copy of the report PDF file to your mobile device and display it.
