QC - Sampling

Purpose

The Sampling Quality Control module is used to perform quality reviews of sample specimens that have been tested in the lab in addition to generating final reports.

Screen Layout & Functionality

The Quality Control module is divided into few different areas / grids.

Filter Pane
  • Appears at the top
  • Used to filter the underlying sample / specimen / test data
  • Filter fields configurable in Administration
ButtonDescription
Add Sample
  • Allows you to add a brand new sample for the project you are on
Samples Grid
  • Listing of the samples logged for the project
  • Clicking on the Sample record will display all of the specimens and tests associated with the sample
  • Grid columns configurable in Administration
  • Square icon on the far right with the arrow in the upper right displays a pop up of the lab instructions associated with the sample
Specimens Grid
  • Listing of the Specimens for the selected sample
  • Clicking on the Specimen record will display all of the tests associated with the selected specimen
  • Grid columns configurable in Administration

Moving Specimens

Moving specimens within this grid can cause duplicate specimen numbers if more specimens are added after records are moved. Duplicate specimen numbers can have negative impacts on these samples when it comes to assigning tests in LIMS. It is recommended that you DO NOT move specimens after they have been added.

Tests Grid
  • Listing of the tests for the selected Specimen
  • Grid columns configurable in Administration
ButtonDescription
Change Status
  • Allows you to change the status of a test to Review or Complete (or back to Analyzed)
Preview Report
  • Generates a preview of the report of the selected tests

Lab results will only populate on report preview if the selected tests are in Complete status. For all other statuses, only Sample and Specimen data will populate on the report preview.

Create Draft Report
  • Creates a report of the selected tests and sends it to the Draft Reports workflow for further review
Finalize Report
  • Generates a final report of the selected tests and sends it to the Delivery module

Editing Records

Records can be edited by clicking the pencil icon in the Sample or Test grid. Clicking the Edit icon in the Sample grid will open the sample / specimen form. Clicking this icon in the Test grid will open the test form.

The Pick Up and Check In data related to specimens can be be modified using the arrow and check mark icons in the Specimens grid.

Statuses

Specimen Status

StatusDescription
Draft
  • Sample record has been saved in the field, but is not complete yet
  • Field validation is bypassed when saving as Draft
Logged
  • Sample has been saved in the field, but not picked up yet
Picked Up
  • Specimen has not been picked up (or checked in) yet
Checked In
  • Specimen has been picked up and checked into the appropriate lab
Tests To Assign
  • Specimen has been checked into the lab and is waiting to have tests assigned to it
Testable
  • Specimens that have at least one Test that is not in the Complete status
Complete
  • Specimens on the sample have all been tested
Uncollected
  • Specimens on the sample that have been marked as Uncollected

Test Status

StatusDescription
Testable
  • Specimen test is waiting for the test date
  • Multi-day tests with a Next Test Action Date that are not complete yet (no Test Completed Date)
  • Only Sample and Specimen data will populate on report preview
Lab Review
  • Specimen test has been tested and is waiting for lab review of the data
  • Only Sample and Specimen data will populate on report preview
Analyzed
  • Specimen test has been approved in the lab and returned to the project manager for review
  • Status will revert back to Analyzed (from Complete) if test results change on a test record
  • Only Sample and Specimen data will populate on report preview
Complete
  • Project manager has reviewed the specimen test results (and optionally test cost) and approved them (marked test record as "Complete"
  • User will be asked if they want to create a report when setting the status to Complete
  • All data (Sample, Specimen and Lab Test data) will populate on report preview
Review
  • Project manager has flagged the specimen test record to be reviewed in more detail
  • Displays the lab results on the previewed report

Deleting Samples & Specimens

Samples and Specimens can be deleted using the "X" control in the respective grid.

  • Samples only be deleted if all of it's specimens are in the Draft or Logged status
  • Specimens can only be deleted if it is in the Draft or Logged status and after deleting there remains at least one specimen associated with the sample
  • Deleting of a Test that has been assigned to a specimen is not allowed (they should be marked as Untested and documented accordingly).
