Project Specs - Distribution
Table of Contents |
---|
Purpose
The Distribution tab is where you define which project contacts receive emailed reports or can view reports in AgilePort. You also have the option to define Delivery Notes which are displayed when a user is in the Delivery module for that project.
Default From Email Address
Default From Email Address allows you to set which default email address will populate the From field when generating reports associated with the current project.  Note, the From field can still be changed at report generation, but will initially be populated with the value here instead of the users stored email address.
The Default From Email Address field in Specifications will override the Default From Email Address located in Administration when there is a value entered.
Non-Field Default Email Subject
The text string stored here will be the default email subject used when a report is emailed from a non-Field module for the project. Placeholder variables can be used to return system values based on the underlying report data. Email subjects defined here will be used in place of the global email subject defined.
Field Default Email Subject
The text string stored here will be the default email subject used when a report is emailed from the Field module for the project. Placeholder variables can be used to return system values based on the underlying report data. Email subjects defined here will be used in place of the global email subject defined.
Delivery Notes
Delivery Notes allow you to record notes (instructions / reminders) for users who distribute reports in the Delivery module. These notes will display in Delivery when you have that project selected.
Report Recipients
Click the Add Recipient button to add a recipient contact to the distribution. Begin by typing in the email address, first name or last name of the individual you wish to add as a recipient. If this person is a collaborator on the project or a client contact or an existing AgilePort user, you will see their email address in a list to select from. Simply select their email address to populate the rest of the recipient information (Email, First Name, Last Name, Company, Role). If the recipient does not exist, you can fill in the remaining recipient fields to create a new recipient. If the contact should receive emailed reports and / or view reports in AgilePort, set the Email Access / AgilePort Access fields accordingly.
For information on managing AgilePort Users, see AgilePort Help.
The recipient list will be used in Scheduling for easy selection of a contact in the Requested By field.
File Transfer
The File Transfer settings allow to set up a file transfer protocol, which allows you to send out reports via a predefined file transfer instead of via email.
Setting | Description |
---|---|
Use File Transfer | Enables the Publish via FTP button and allows configuration of other settings. |
Protocol | Allows you to configure which protocol (Port) the file transfer will use.
|
Directory Address | Is the server directory and folder which the report should be delivered to. |
Username | The username credentials which are used to sign into the server. |
Password | The Password credentials which are tied to the username used to login. |
Associate Reports
Use the Reports tree at the bottom of the pop up (shown above) to indicate which reports the contact should receive when emailed out of MetaField or have access to when viewed in AgilePort.
