Lifecycle of a Safety Record

Safety is an extremely flexible module intended to facilitate the gathering of safety data in your organization. All of the customization is done in the Administration module where an Administrator must create a form. A form defines the set of data to be collected and reported, and various options about how the process will work. Once the form is created in Administration, safety records can be created and flow through the process described below.

Field

A safety record can be created in the Field module. It can be entered completely or saved as a Draft. In the Field module a user may also create a field safety report containing one or many safety records.

Quality Control

Once a safety record is created, it is viewable in QC immediately by the project manager. Unlike other areas of MetaField, a safety record can also be created in the QC module rather than in Field. This is used for complicated forms or forms with long narratives where a PC may be easier to use for data entry. A safety record that has been saved but not yet reviewed has a status of Draft or Entered.

At any time, a project manager may manually mark a safety record as Review. This is done so that the safety record will be highlighted on the dashboard for future reference, but it is not a required step.

Once the project manager has reviewed the safety record they must set the status to Complete in order to create a safety report. If a safety record is later edited it will revert to Entered.

Dashboard

The Dashboard will show them the number of safety records Entered or flagged for Review. In addition, the Not Reported feature tracks the reporting of safety records to ensure all are reported.
