Table of Contents

Purpose

The Sample Tracking Work Queues section of lab is used to process generic samples that have been checked into the lab and need to be tested. The following workflow functions are performed in this module:

  • Specimens are "received" into the lab (after field technicians check specimens into the lab)
  • Tests are assigned to specimens
  • Test reports (PDF) are attached to lab test records / configurable test forms are filled out within the application
  • Test results are reviewed and approved from a lab perspective

Filter Pane

The filter pane can be used to filter the underlying queue data by a variety of variables.

Queues

To Receive

The To Receive queue shows all specimens that have been checked into the lab but have not been "received" into the lab workflow yet.

Receive Specimen
  • "Receives" the specimen into the lab workflow
Add / Split Specimen
  • Adds additional specimens to the sample (or splits the large specimen into smaller ones)
  • Example: Large bag of aggregate is received and it needs to be split into smaller specimens that need to be tested with a mix of tests

Print Receiving List
  • Prints a paper receiving list that can be used to audit the receiving process in the lab

Change Lab

  • Specimen can be moved to another lab if checked into the incorrect lab by mistake
No Tests For Specimen
  • Marks a specimen as having no lab tests and will terminate its workflow in the lab
View Field Data
  • Displays a pop up that allows for data collected in the field to be reviewed
  • "i" icon on the right side of the data grid

Tests To Assign

The Test To Assign queue shows all specimens that have been received into the lab workflow that need to have specific lab tests assigned to them.

Add Test
  • Adds a lab test to a selected specimen
  • Multiple lab tests can be associated with one specimen (i.e. specimens that are tested multiple time and not destroyed during the previous test)
  • As tests are added to the specimen, they will appear in the grid below the Test To Assign grid until the queue is refreshed and the specimen and associated tests fall out of the queue
  • The following fields are supplied when adding a test to a specimen...

Test Cost is optional and only used by firms that track their billable test costs. These costs can be exported in the Billing module later.

Testable

The Testable queue shows all tests that are waiting for the test date to arrive.

The Testable queue is now displaying tests instead of specimens.

Modify Test Date

  • Test Date can be changed for a test

  • Prints a report of the tests schedule for a future test date
View Field Data

To Test

The To Test queue shows all tests where the test date equals the current date or prior. Overdue tests are highlighted in a red shading.

Complete Test
  • Used to indicate that the test is complete
  • Data related to the test can be supplied
    • Tested By
    • Date Test
    • Test Results (narrative summary / notes)
    • Upload supporting lab reports (PDF files)
    • Mark a test as Untested
    • View / update test costs

If your test is based on a configured test form, you will be presented a screen to fill in the data fields configured in the test configuration in the Admin module.

FireFox Browser

If you are using FireFox there is a known issue preventing the uploading of files. You will need to use a different browser, such as Chrome or Internet Explorer, to perform this function.

 

 

Add Test

Print Test List
  • Prints a report of the tests schedule for today
Complete Test - Copy Prior Test Data
  • Used copy test results from the most recent test for that specimen into the test form of the current test being executed
  • Only applies to a configurable test form

View Field Data

To Review

The To Review queue shows all completed test that are awaiting lab review and approval.

Approve
  • Marks the test as Approved
  • Changes the status of the test (in QC) from Lab-Review to Analyzed
  • Project manager is alerted in their Dashboard queue
Add Test

Revert Test Results
  • Removes any test data and puts the test record back in the Testable or To Test queue
View Field Data

Done

The Done queue shows all tests that have been completed and approved in the lab. The queue will default to the most recent 30 days of tests, but can be broadened or narrowed if needed.

Revert Test Results
  • Removes any test data and puts the test record back in the Testable or To Test queue
Open In QC
  • Opens the test in QC so a report can be created
  • Button displays only if user has rights to the Sample Tracking - QC module

Lab technicians that need to create reports (versus project managers) should have access to Sample Tracking - QC, as that is where reports are created
