Scheduling Practice

While working on these exercises, utilize the Help feature in MetaField (located in the upper right corner) to answer any questions.

The exercises are also intended to see how the entire scheduling workflow process works. You will be asked to navigate from the Scheduling module to the Field module and vise versa to see how the two modules interact with each other.

Before You Begin

NOTE

One of the exercises in this section will ask you to enter a Soil Nuclear Gauge field test. This requires valid proctor results to be entered in the Lab module. While normally Field users would not use the Lab module, you should navigate to the Lab module in order to ensure a valid proctor for your project. This should be done on a PC, not on a mobile device.

Log in to MetaField at https://sandbox.agileframe.net

Navigate to LIMS > Soil Proctor Results > View Proctors.

Soil proctors are specific to each project. Type 123 into the Project Number field. Select Search. Select View Proctors for the project you selected.

Verify that at least one proctor is active for the project you are using. If there is not an active proctor, you can create one using the button Add Proctor For This Project.

You may now leave the Lab module and access the Scheduling Module.

Scheduling - Calendar View

1.From Home, navigate to Scheduling
2.Notice the Scheduling module defaults to the Calendar view.
2.Select Add Work Order.
3.Enter search criteria to locate a project and select Search.
4.Choose a project from the Search Results grid. Click the Select link.

  1. Add a work order by filling in the required fields.
    1. select Density Test - Soil Nuclear Gauge.
    2. Select As Available. Notice that the Start Time an Duration fields become hidden.
    3. Select Save as Draft. Notice where (at the top) and how (highlighted grey) the work order shows up on the calendar.
    4. Select the draft work order you just created from the calendar.
    5. Click the pencil icon within the Technicians data grid, type in your last name in the Technician field, select yourself from the list, update the status to Submitted. Select Save. Scroll down and select Save from the edit work order screen. Notice the color of the work item changes with the status change.
      1. Note: if you were set up with an alert email in your user record, you should receive an email for this work order.
    6. Open up a new browser window and navigate to https://sandbox.agileframe.net and log in.
  2. From Home, navigate to Field.
    1. Select My Assignments
    2. You will see the work order you assigned yourself. Expand the work order and notice the details. Select Accept. Look back on your browser that is still in the Scheduling module. Notice the color changes again.
  3. Go back to Field. Expand the work order (if not expanded). Select the Density Test that is within the work order. Select Open Form.
    1. Enter in the information required to complete the Density Test (make sure your test fails). You will get a pop up stating that the test falls outside of the specified range. Select OK.
      1. Notice in Field you see there is a new button with a red label that says "Manage 1 Retests".
    2. Select the Back button on the webpage.
    3. Select My Assignments.
    4. Expand the work order, select the Density Test that is within the work order. Select Complete.
    5. You will get a pop up that says completing the work order will remove it from My Assignments. Select Confirm.
    6. Go back to Scheduling. Notice that the work order changes to green to indicate the work was complete.
  4. From Scheduling click on the Pending Field Actions Tab. Select the Density Tests tab. If you don't see your failing density test. filter by date tested.
    1. Select your failed test. Select the Add Work Order button. This time schedule for a specific time by adding a start time and duration (make sure "As Available" is not marked true). Assign the work order to yourself. Select Submit to Technician.
    2. Go Back to the Scheduling tab. Notice the new work on the calendar in submitted status.
  5. Add another work order. Select the Add Work Order button. Search for and select a different project.
    1. on the Add New Work Order screen select Concrete - Cast Cylinder.
    2. Mark the "Recurring" checkbox true.
    3. Enter all the required fields for the recurrence.
    4. assign yourself as the Technician. Select Submit to Technician(s). Notice how the recurring work order populates on the calendar. Notice how your selected project remains the one you first selected when starting this practice exercise.
    5. Select one of the work order occurrences. Notice you can update the single instance or the entire series. Select Edit Single Instance.
    6. Update the start time. Notice on the calendar just the time of the selected instance updates.
  6. Add another work order. Select the Add Work Order button.
    1. Select any work item and use a start and end time that overlaps with the previous work order that you created. Select submit to technician(s).
    2. A pop up window will appear. Notice that the system requires you to confirm you want to assign overlapping work orders to a technician. Select Cancel.
  7. Select the first work order you created and hold down the left mouse button and move the work order to a new time.
  8. Select the first work order again and open the edit work order screen. Select Copy Work Order. A pop-up will appear.  Choose Copy to Same Project. Notice the add work order screen is populated with the same information (excluding date/time info). Provide Date/time info and select submit to technician.
  9. From the month view click on one of the links in the "W" column to the left of the calendar. Notice you will navigate to the week view for that week.
  10. From the week view click on one of the links (Day MM/DD) at the top of the calendar. Notice you will navigate to the day view for that day.
  11. From the month view click on one of the links within each day on the calendar (top right corner within a given day). Notice you will navigate to the day view for that day.
  12. Optional: Add a work order by highlighting a date/time period on the calendar (this works just like outlook).


Scheduling - List View

1.From Home, navigate to Scheduling.
2.Select the List button. If the project you were working on does not pre-populate, search by entering in some search criteria. Select the Search button. Notice you will see work orders across multiple projects.

Select a work order from the list that is not complete. Select the Change Status Button.

  1. Select "complete" in the drop down. Select Change.
  2. Select the Refresh Button. Notice that the status changes.
4.Notice passed due work orders have their Start and End Dates highlighted.
5.Click the column headers to re-order the work orders on the grid.
6.Click the edit icon to the right of the screen.
7.Click on the icon next to the edit icon. You will see the history of that work order.
8.Click on the icon that is in some of the fields in the "Work Items" column. Notice these are where multiple work items were assigned to a work order.

Scheduling - Technicians

1.From Home, navigate to Scheduling.
2.Select the Technicians button to change the view to a calendar view but with technicians along the left margin. Notice that you can change the view from showing a week to showing just one day.

In the Filter pane, change the Technician availability filter from "All" to "Scheduled" and select Search. This will filter technicians to only the ones scheduled for the current Week or day (depending on how you are viewing the schedule).

From the week view click on one of the links (Day MM/DD) at the top of the calendar. Notice you will navigate to the day view for that day.

5.From the day view scroll to where your name is listed in the grid, note you may need to toggle to another page. 
6.Click within the calendar in the same row where your name is listed. Notice that you navigate to the add work order screen with your name populated in the technicians grid and the start date/time populated on the work order.

Scheduling - General

1.From Home, navigate to Scheduling
2.Select the List button

at the bottom of the page increase the amount of view-able rows in the list to "50".

Use the Filters at the top of the page and see how the list changes (office, technician, etc). Select the Search button.

5.Clear your filters to return to the full list again. Select the Clear button.
6.Click in the status boxes to filter on specific statuses (Draft, Submitted, Accepted, etc.)
7.Filter by a date range, a time range, or both.
8.Filter by technician, notice you can add multiple technicians into this filter.
9.Notice you can schedule a work order for a different time zone (if applicable)
10.Navigate from the Scheduling tab to Pending Field Actions.

Notice the categories of Pending Field Actions. These can be turned off by navigating from Home to Administration > Work Items/Billing Costs > Work Items and removing the check mark from "Create Pending Field Actions".

12.Filter the pending field actions list by a Project Manager or Technician. Select the Filter button. Notice that the dashboard view refreshes. Notice you can save your commonly used filters like in other areas throughout MetaField.
