Outage mitigation planning is designed to give you some things to consider for continued business during a planned, or unplanned system outage. Please consider the following practices for handling incidents in each area of MetaField.
Area | Downtime Mitigation |
---|
Scheduling | - At the end of each work day, schedulers download the schedule from MF for tomorrow’s activities. That way if there is an outage, they know what is currently on the schedule
- For any updates to work orders during the outage, the scheduler will need to call the technicians to notify them of the change
- For any new work, schedulers will need to track manually until the system is back online and can add it to the schedule
|
Field | - Store e-copies of forms / data collection on local machines / desktops
- Store e-copies of forms in shared Dropbox, Google Drive, Cloud, etc.
- Store hard copies of empty forms for data gathering at local office
- Use Excel spreadsheets to gather data
- Use shared Google Sheets for real time data access between field tech and PM
- Bonus – Prep Google Sheets ahead of time to gather data with various columns, headers, calculations to better support data entry and data review
|
LIMS | - Receive samples manually
- Have Blank Bench Sheets available
- Sample tracking would be done on bench sheets for later entry
- Tests would have to be reviewed and approved using the bench sheets
|
Dashboard | - Manual review of paper data collection and test samples
- Personal contact with the field and lab for status
|
Quality Control | - Manual review of paper data collection and test samples
- Manual creation of reports
- Upload any manually created reports once the system is back online
|
Delivery | - Manually send reports through email
- Update the delivery status for any reports that were sent manually once the system is back online
|
Project Administration | - No updates or new projects could be added
- Create a Spec Book to store specifications so they can be available to take in the field or lab
|
Utilities | - Data extracts should be completed once MetaField is back online
