Project Setup - Projects

Purpose

The Project section with Project Setup allows you to add, edit and view Project information. This Project information will be used throughout MetaField.

Project Search

  • When you first access Projects, you will be taken to a screen that contains your recently viewed Projects.  
  • This screen also allows you to search for other Projects you may be interested in.  
  • Clicking on the edit icon will open the project record.
  • Selecting New Project will open the screen to add a new project record.
  • Selecting Upload Projects will open the project import screen.

Adding a New Project

If you need to add a new project, click the New Project button from the Project Search screen. Complete all required fields and select Save.

  • Must be a unique number across the system
  • Allows both alpha and numeric values

Project Name
  • Enter the name of your project

  • Enter the site address of your project
  • May enter an actual street address or more general geographic area
  • Only Address is required
City
  • Type in the city where the project is located

State / Province
  • Select the State in which your project resides
  • Required Field
Postal Code
  • Enter the postal code for your project site
Comments
  • Enter in any comments regarding the project
Project Manager
  • Select from the list of MetaField users the Project Manager
  • Required Field
Client Project Number
  • If the client uses an alternative number for this project, you may enter it here
  • If present, this number will appear on the client reports generated in MetaField
Client
  • Select the Client for the project from the list of Active Clients in MetaField
  • Required Field
Owner
  • In some instances, the Client for a project may be different than the project Owner
    MetaField allows you to identify both. If your project does not have a separate Owner and Client, enter the same name for both
  • Select the Owner for the project from the list of Active Clients in MetaField
  • Required Field
Is Accreditation Project
  • Denotes the project as being a project that is used for Accreditation purposes and allows for Evaluation forms to be entered against it

Note for Customers with a Hybrid Model of MetaField

Each project record has an optional field called External Id. For customers using MetaField in a hybrid model - using both Project Setup and an external ERP system - this field contains the id of the project in the ERP system. If the record is imported from your ERP system through the adapter you should do nothing with this field. If you are manually entering the project record either through the UI or an upload you should include the id of the project in the ERP system so that the adapter will associate the records in both systems.

Uploading Projects

In addition to adding projects manually, you can also import projects directly into MetaField by using the Upload Projects button.  To upload projects, follow the steps below.

Before importing multiple project records into MetaField, it is recommend that you do a test import of a few "test" records first. The "test" records uploaded can be deleted before you proceed with uploading a large set of project / client data. Before uploading a large batch of projects, it is recommended you try the full upload in your Stage environment, if possible, before proceeding with the upload in Production. Work with your Solutions Consultant on these details along with obtaining access to your Stage environment.

An Upload dialog box will open.
Click Upload to search for the file containing the clients you would like to upload.

Project Upload File Structure

Keep the following items in mind when creating your client file:

  • Only csv file format is supported for upload into MetaField
  • File must contain the following fields, separated by a comma: Project Number, Project Name, Address, City, State, Project Manager ("LastName, FirstName" format with comma and quotes), Client, Client Address, Owner, Owner Address, External Id (note that External Id is optional and may be omitted - this is only needed for customers using MetaField in a hybrid model and if used must be unique), Project Address2, Project Address 3
  • If a comma is needed for one of these fields (e.g., Client Name is ABC Company, Inc), you need to enclose the entire field in quotes ("ABC Company, Inc")
  • Your file should NOT contain column headers 

If you are creating your CSV file by opening/editing in Excel and saving in csv format, wrapping text that contains commas in quotes is not needed.

Once the file name displays in the Upload dialog box, select Ok.

Duplicate Project Records

While uploading project records, MetaField will not upload Projects that may be duplicate records. During this process, it looks for records that match the project code. If duplicate records are found, you will be prompted and can view the duplicate records at the end of the upload process.


Uploading Data

The attachment below, is an example of a properly formatted file, ready for Upload.

Extracting Projects

Extract list of projects created via .csv extract.

Define email address for the extract to be sent to and select the status of projects to extract

3.Check email and follow link to download extract file.

Editing Projects

Select the pencil icon on the left side of the project grid to edit any project data

Accessing Project Specifications

Project specifications can be accessed through the Project Setup module using the Project Specification button.

  1. Select the Pencil from the Recent Projects grid
  2. Select the Project Specification button - this will move you to the Project Specifications module
